Clinic and Hospital Software Price in India (2026): What You Actually Pay For

If you run a clinic or a small hospital, you've probably been quoted very different prices for "hospital software" — some monthly, some one-time, some that look cheap until the extras are added. This guide explains what actually drives the price, so you can compare quotes properly. We build and sell clinic software ourselves, so we'll also tell you our own prices at the end.

The two ways clinic software is sold

1. Monthly subscription (SaaS)

You pay every month or every year for as long as you use it. The first month is cheap, which makes it easy to start. Over three to five years, though, you usually pay much more than a one-time build, and if you stop paying, you lose access. Ask what happens to your patient data if you cancel.

2. One-time build with a small maintenance charge

You pay once for the software to be set up for your clinic, then a small monthly charge for hosting, backups, support and updates. The upfront cost is higher, but the long-term cost is usually lower and the setup fits how your doctors already work.

What drives the price up or down

• Number of doctors and staff logins. A one-doctor clinic needs less than a hospital with several departments.
• Specialty features. A dental tooth chart, an eye examination chart or endoscopy images all take extra work.
• Automation. Automated WhatsApp and email reminders cost more than a simple follow-up list.
• Extra modules. Billing, pharmacy stock and lab reports are separate modules in most systems and add to the price.
• Customisation. Your own prescription format, fields and workflow take setup time.
• Data migration. Moving years of old records from another system or Excel is extra work.

Hidden costs to ask about before you pay

• Is there a monthly or yearly charge after the first payment? How much, and what does it cover?
• Are daily backups included, or charged separately?
• Is support included? By phone or WhatsApp, or only by email ticket?
• Is there a per-doctor or per-login fee as you grow?
• Can you export your patient data if you ever leave?
• Are updates and security fixes included?

A quote that doesn't answer these clearly is not really a price. The cheapest quote often becomes the most expensive one once backups, support and per-user fees are added.

What a fair basic package should include

For a clinic or small hospital, the basics are: patient records with full visit history, a walk-in queue with tokens, appointment booking, a doctor screen for findings and medicines, printed prescriptions, a follow-up list, staff roles, reports and daily backups. If a quote leaves out patient history or backups, it is not a complete system.
